How to Show, Hide, and Reorder Columns on the Transactions Table

What you’ll learn: How to choose which columns show on the Transactions table, drag them into your own order, and use the Hide all, Reset order, and Show all shortcuts.

Before you begin

  • You must be signed in as an accountant. Client users do not see the columns button.
  • You need at least one company connected to QuickBooks, with synced transactions.

How it works

The Transactions table shows up to 6 columns in the main row. If you turn on more than 6, the extra columns move to a detail row that appears when you expand a transaction.

Your column choices and order are saved automatically in your browser and apply every time you come back to the Transactions page.

The default column order is: Vendor, Description, Account, Date, $ (amount), Docs, Bill & Tax, Class, Location, Customer.

Step-by-step instructions

Step 1: Open the Transactions page

Go to Bookkeeping in the sidebar, open a connected company, and click Transactions.

Step 2: Open the column panel

In the toolbar above the table, click the columns icon. Its tooltip reads Show/hide columns. A panel opens listing every column with a switch.

Step 3: Use the quick actions

At the top of the panel you’ll see three buttons:

  • Hide all — turns every column off at once.
  • Reset order — returns the columns to the default order.
  • Show all — turns every column on at once.

Step 4: Show or hide a column

Flip the switch next to a column name to show or hide it. The table updates right away.

Step 5: Drag to reorder

Use the grip handle (vertical dots) on the left of each row to drag a column up or down. Drop it where you want it — the table follows your new order immediately.

What happens next

  • The first 6 visible columns (in your order) show in the main row.
  • Any extra visible columns appear in the expandable detail row under each transaction.
  • Your layout is saved automatically and used on every visit.

Troubleshooting

  • I don’t see the columns icon: Only accountant users have it. If you’re signed in as a client, ask your accountant.
  • A column is missing: It’s probably switched off. Open the panel and turn its switch back on.
  • Data shows in a second row under each transaction: That’s expected when more than 6 columns are visible. Hide columns until 6 or fewer remain if you prefer a single row.
  • My order didn’t save: Preferences live in your browser. Clearing browser data or switching browsers resets them — use Reset order to get back to the default.
